Overview

This section provides an overview of the following topics related to Step 2: Review Payment Setup:

Introduction to Step 2: Review Payment Setup

The purpose of Step 2: Review Payment Setup is for Plan Sponsors to setup or review and confirm that cost reporting and payment privileges are assigned as needed for Reconciliation. This step allows a Plan Sponsor to:

  • Add new Cost Reporters for final cost reporting if needed
  • Reassign Vendor Designees as needed
  • Remove the "Request Payment" privilege for any Designees that you do not want to participate in the preparation of the Reconciliation payment request
  • Add the "Request Payment" privilege to any additional Designees that you want to participate in the preparation of the Reconciliation payment request
  • Add the "Complete Electronic Funds Transfer Information" privilege to Designees participating in Reconciliation, if needed
  • Add the "Retiree Data" privilege to the Designees participating in Reconciliation, if needed

Timing for Step 2: Review Payment Setup

Step 2: Review Payment Setup can be started after Step 1: Initiate Reconciliation has been completed. Step 2 must be marked "Complete" on the Reconciliation Checklist to proceed to the remaining steps.

Unlike Step 1: Initiate Reconciliation, Plan Sponsors may return to Step 2: Review Payment Setup to make changes at any time before the completion of the final task, Step 12: Review and Submit Reconciliation Payment Request or the Reconciliation Deadline has passed. If Step 2 is revisited, the status must be marked "Complete" to proceed with the remaining steps in the Reconciliation process.

Note: After Reconciliation has been initiated in Step 1, Step 2: Review Payment Setup can only be accessed through the Reconciliation Checklist and not the Application List page. However, after Reconciliation is complete, Payment Setup will again be accessible from the Application List page.

User Role Responsibilities for Step 2: Review Payment Setup

Step 2: Review Payment Setup may only be completed by the Authorized Representative or the Account Manager. Designees with Request Payment privilege may view this step but not initiate it.

Payment Setup requires the assignment of a Cost Reporter, Payment Requester, and any Vendors or Vendor Designees.

What Happens After Step 2: Review Payment Setup Is Complete

After Step 2 is complete, the status of Step 2: Review Payment Setup changes to "Complete" and the Last Updated Date and Last Updated By fields are updated accordingly. Step 2 is marked with a green check to indicate that the step is complete and Step 3: Request Covered Retiree List is marked with a blue arrow to indicate that it is the next step.

Step-by-Step Instructions

This section provides step-by-step instructions to complete Step 2: Review Payment Setup.

To access the RDS Secure Website, and navigate to the Reconciliation Checklist page, refer to instructions to access the Reconciliation Checklist.

On the Reconciliation Checklist page:

  1. Select Step 2: Review Payment Setup.

     Select [Review Payment Setup]

On the Step 2: Review Payment Setup page:

  1. Select View Payment Setup Options to view the current Payment Setup selections.

    Note: To make changes to Payment Setup, select Payment Setup Menu. Refer to Change Payment Setup for guidelines and step-by-step instructions to change Payment Setup.

     Select [View Payment Setup Options]

On the Payment Setup selections page:

  1. Select Continue to return to the Step 2: Review Payment Setup page.

     Select [Continue]

On the Step 2: Review Payment Setup page:

  1. Select the checkbox to indicate that you agree with the Payment Setup information.
  2. Select Submit to complete this step and return to the Reconciliation Checklist.

    Note: If there is an error in Payment Setup, Step 2 displays the status "Error - Needs Attention" on the Reconciliation Checklist, identified by an exclamation point. Return to Payment Setup and fix the error to complete Step 2.

     Select Agreement Checkbox, Select [Submit]
