How To Change Personal Information

Occasionally, an Account Manager, an Authorized Representative, a Designee, or an Actuary may need to change his/her personal information on file in the RDS Secure Web Site. This document explains how an RDS Secure Web Site user may change his/her personal information. Specifically, this document includes information about the following:

What personal information may be changed?

You may change all or some of the following information:

  • First Name
  • Middle Initial
  • Last Name
  • Company Name
  • Job Title
  • Telephone Number
  • Fax Number
  • E-mail Address
  • Mailing Address

What personal information may not be changed?

Your Login ID, the answers to your two Security Questions, your date of birth, and your Social Security Number (SSN) cannot be changed. This information was used to authenticate/identify you as an individual and should never require changes.

Are there any restrictions governing changes of personal information?

Yes, there is one restriction on making changes to the editable fields. If you are an Actuary and wish to change either your first or last name, you must register your name change with the American Accademy of Actuaries (AAA) prior to attempting a name change in the RDS System. All Actuaries are validated against the AAA membership list before they can be assigned to an RDS Plan Sponsor application.

Be advised that it may take one to two weeks for the RDS database to be in sync with the AAA.

How, and to whom are changes in my personal information communicated?

When a Secure Web Site user changes any of his/her personal information, the Account Manager or Authorized Representative associated with that Plan Sponsor account will be sent an e-mail from CMS' RDS Center. This e-mail notifies them that a change in personal information was made. Additionally, the individual who made changes to his/her personal information is copied in the e-mail.

Specifically, if the Designee changes his/her personal information, an e-mail is sent to the Account Manager. If the Account Manager changes his/her personal information, an e-mail is sent to the Authorized Representative. If the Authorized Representative changes his/her personal information an e-mail is sent to the Account Manager.

The Change of Personal Information e-mail generated from CMS' RDS Center will read as follows:

CC: User who changed personal information

Dear AM or AR as applicable:

Your (Role of User requesting change), (First-Name Last-Name) of requestor for XYZ Corporation has requested a change of personal information. Please contact them directly for specifics on what was changed.

What safeguard is there to ensure that my name cannot be changed without my knowledge?

The user requesting a first or last name change will be required to answer his/her two security questions before the change is processed. The extra layer of user authentication safeguards the user against potential fraud.

How do I change my personal information?

To change your personal information, follow the process outlined below:

  1. Login to the RDS Secure Web Site by entering your Login ID and Password in the Account Login fields in the right hand navigation menu as shown below.

  2. From the RDS Secure Web Site home page, click the Manage Personal Information link in the right hand navigation menu.

    The Manage Personal Information page displays in edit mode as shown below.

  3. To change your personal information, enter your new information and click the Continue button. If you change your first or last name, you are prompted to answer your security questions before you can continue with your change request.

    Note: Your Social Security Number and your Date of Birth fields appear as view only because this information cannot be changed.

    The Manage Personal Information Summary page displays as shown below.

  4. Review your changes for accuracy.
    • If more changes are required, click the Edit button to return to the previous page and edit your changes. Repeat these steps as necessary.
    • If you would like to cancel your change of personal information request, click the Cancel button and return to the Home page.
    • To save your changes, click the Continue button.
  5. After clicking Continue, the Manage Personal Information Confirmation page displays as shown below. Print out a copy of your confirmation page for your records.

  6. Click the Home button to return to the Home page.

    An e-mail notification is sent informing the Account Manager or Authorized Representative as applicable that personal information changes were made.

How long does it take before the information change is effective?

Any change made to your personal information in the RDS Secure Web Site is effective immediately after you click the Continue button.

How do I change my password?

To change your password, follow the steps below:

  1. Login to the RDS Secure Web Site by entering your Login ID and Password in the Account Login fields in the right hand navigation menu as shown below.

  2. The RDS Secure Web Site home page displays as shown below. Click the Change Password link in the right hand navigation menu to change your password.

  3. To change your password, enter your old password and your new password in the indicated fields.
    • To cancel your password change, click the Cancel button to return to the RDS Secure Home page.
    • To save your password change, click the Submit button.
  4. Once the password is changed, the Change Password confirmation page displays as shown below.

    Note: Remember to use your new password when you login to the RDS Secure Web Site the next time.

  5. Click Continue to return to the RDS Secure Web Site home page.
